Field employee app

The app for people who do not work at a desk.

The employee opens the task on site, marks it done and signs the record there. The office sees it immediately, not in the evening and not tomorrow.

What happens in the app

  • Plan for the day
  • Checklist on site
  • Completion mark
  • Signature for the service

Data in the office

  • Time tracking
  • Signed record
  • Vehicle fleet

What changes in the office

The task closes in the moment, not in the evening

The employee marks completion on site. The office sees it immediately, not the next day.

Recorded time cannot be rewritten silently

A correction is filed as a request and approved; the system keeps a record of who changed what. Holidays and day statuses live in the same place. Administrator and employee areas are separated.

The record is signed on site

The patient signs the delivered service on a tablet at the moment of delivery; the entry is assembled from the employee’s actual time with the patient and the service scheduled in the plan.

Data is entered once

A photo of the odometer in the app — readings are captured automatically. The separate person who used to copy numbers from photos into a spreadsheet is gone.

What happens without an app

The employee finished at 17:00. It reaches the records tomorrow, if they remember.

The report arrives in the evening or tomorrow

Part of the data is reconstructed from memory rather than from the work itself.

A separate person copies the numbers

Drivers send photos on WhatsApp and someone transfers the readings into a spreadsheet. That is their job, and they hate it.

The office finds out late

Tomorrow’s planning is built on yesterday’s data.

Time records are edited without a trace

Nobody can say who changed an entry, or when.

What we have already built in field employee apps

On site with the client

  • Plan for the day and a checklist.
  • A timestamp at the start and at the completion of a task.
  • The patient’s signature for a delivered service on a tablet, at the moment of delivery.

Time and records

  • Working time records with correction requests and an audit trail.
  • Holidays and day statuses in one place.
  • Separated administrator and employee areas.

Vehicles and routes

  • A photo of the odometer in the app: readings are captured automatically.
  • Mileage is checked against plan and consumption; repair history with documents and prices; control of TÜV and insurance.
  • Route and travel time between clients calculated from map data and corrected against actual figures from the app — built in one specific project, not offered as a ready-made module.

A timestamp at the start and at the end of a task

How it works

The employee opens the task in the app and closes it when the work is done. A coordinate is stored at both marks.

  • The mark is set twice per task. Between the two marks no location is recorded. This is neither shift tracking nor continuous location tracking.
  • What it serves at the client: the administration sees that a task was completed on site, and at what time.

What comes from us and what stays with you

We deliver the technical part: the feature can be switched on and off, it is off by default, the retention period is configurable, and the marks are deleted once it expires. The legal basis stays with you.

  • In Germany, deploying such a feature touches works council co-determination (§ 87 Abs. 1 Nr. 6 BetrVG) and as a rule requires a data protection impact assessment (Art. 35 GDPR).
  • We do not draft a Betriebsvereinbarung and we do not replace your Datenschutzbeauftragter.

What we do not claim

We do not claim that this timestamp replaces the records with which you evidence a delivered service to your payer.

The boundary of this page

The app is a separate product. The first module has a fixed scope and costs €2,500; every further stage is calculated separately and named before work begins.

  • We do not offer an off-the-shelf routing module: route calculation was built in one specific project for one specific process.
  • Whether a signed record is accepted by an insurer, a social services office or an inspecting authority is not something we claim.

How the app gets built

  1. 01

    Process review

We look at how the work runs today: what the employee does on site, what reaches the office, and when.

  2. 02

    Scope and price

We put in writing what is included, what is not, what it costs and how long it takes — before work begins.

  3. 03

    Build and rollout

The employee app and the part the office sees are built together and rolled out in parts.

  4. 04

    Handover

Access to the repository, access to the admin screen, a walkthrough over video. We have no maintenance subscription.

Typical stack

Mobile

React Native / mobile-first UX / push notification flows

Backend

Laravel / Node / APIs / auth / sync logic / admin services

Infrastructure

Notifications / analytics / app release pipeline / monitoring

Frequently asked questions

What does the app cost?

€2,500 for the first module, with a fixed scope. Anything beyond it is calculated stage by stage and named in writing before work begins.

Does the crew have to install anything?

The app is installed on a phone or a tablet. If a browser is enough at this level, you do not need to start with the app: request intake for €800 opens in a browser and requires no installation.

Can the time records be trusted?

Recorded time cannot be changed after the fact without a trace. A correction is filed as a request and approved; the system keeps a record of who changed what.

Does the app record location continuously?

No. The mark is set twice per task — on opening and on completion. Between the two marks no location is recorded. The feature is off by default, the retention period is configurable, and the marks are deleted once it expires.

Does a signature on a tablet replace the record for the payer?

We do not claim that. We built the signature for a delivered service and the link to the payer; recognition of the document by a third party is not our claim.

Is there a maintenance subscription?

No. After handover, changes are quoted separately and we name the price before work begins.
